The National SAM Innovation Project (NSIP) is committed to protecting the privacy and security of your personal information. This Privacy Policy explains what information we collect, how we use and protect it, when we share it, and the choices you have.

This policy applies to TimeTrack®, Time/Task Analysis, and related services NSIP provides to participating schools, districts, and their users ("you"). It also applies to information you send us by email or through our support channels. It does not apply to third-party websites or services that may link to or from our services.

Information We Collect

We collect only the information needed to provide our services. This includes:

Profile and account information: the administrator's name, role, email address, and cell phone; the school's name, address, phone number, website, and grades served; state and district; school information such as student enrollment, district poverty rate, and free/reduced lunch percentage; program details such as status, performance level, model, and start date; and the names and contact information of the SAM(s), NSIP Coordinator, Time Change Coach, and Implementation Specialist who work with the school.
TimeTrack® data: the calendar entries, tasks, categories, and time use records you or your authorized users enter.
Time/Task Analysis data: observation data and results collected during Time/Task Analysis.
Support communications: information you include when you email us or submit a support request.
Technical information: basic information collected automatically when you use TimeTrack, such as login times, IP address, browser type, and error logs, used to keep the service running and secure.

TimeTrack is designed to record how school leaders spend their time. Please avoid entering sensitive personal details about students, staff, or families (such as health or disciplinary information) in calendar entries or notes.

How We Use Your Information

NSIP uses your information solely to provide the services you request. Specifically, we use it to:

Operate TimeTrack and deliver Time/Task Analysis results
Support your work with your Time Change Coach
Respond to questions and support requests
Maintain, troubleshoot, secure, and improve our services
Conduct research, only as permitted by your Research settings (see Your Choices below)
Meet legal obligations

We do not sell your personal information, and we do not use it for advertising.

How We Share Your Information

NSIP does not share your personal information or time use data with any third party without your permission, except in the limited cases below.

With your permission: when you grant access to other users or opt in to research through your TimeTrack settings.
Service providers: trusted companies that help us run our services, such as hosting, cloud storage, and email providers. They may access information only as needed to perform services for NSIP and are required to protect it.
Legal requirements: when required by law, subpoena, or court order, or when necessary to protect the rights, safety, or property of NSIP, our users, or others.
Organizational changes: if NSIP is involved in a merger, transfer, or similar change, your information may be transferred, subject to the protections in this policy.

Your Choices and Permissions

You control who can see your TimeTrack data. You can give or change permission in two ways, both in TimeTrack when accessed on a laptop or desktop computer:

Research preferences: go to Settings, General Options, Research, and select your preferences.
User access: go to User, User Access, and follow the prompts to add, change, or remove another person's access to your TimeTrack.

You can change these settings at any time. Changes apply going forward and do not undo access that was already used.

Data Storage and Retention

Your information is stored on secure servers and cloud storage located in the United States.

NSIP keeps TimeTrack and Time/Task Analysis data indefinitely so that participants can review their progress over time. If you end NSIP service, you may request a copy of your data at any time.

You may also request that your personal information be deleted by contacting us (see Contact Us). We will honor deletion requests unless we are required to keep certain information by law. De-identified research data that can no longer be linked to you may be retained.

Security

NSIP maintains administrative, technical, and physical safeguards to protect your personal information and your TimeTrack and Time/Task Analysis data. We follow industry standards and best practices to prevent unauthorized access, loss, misuse, or alteration. These safeguards include:

Encryption of data in transit and at rest
Access limited to staff and providers who need it to do their jobs
Password protection and account access controls
Regular review of our security procedures and consideration of new security technology

No method of storing or transmitting data is completely secure, so we cannot guarantee absolute security. Please use caution when sharing personal information online and keep your login information private.

If we learn of a security incident that affects your personal information, we will notify you as required by law.

Reviewing and Updating Your Information

We work to keep personal information accurate and rely on you to let us know when something is incomplete or out of date. To review your information:

Open TimeTrack on a laptop or desktop computer.
Click the orange TimeTrack logo.
Select INFO, then Profile Sheet.

Your Rights

Depending on where you live, you may have the right to access, correct, delete, or receive a copy of your personal information. To make a request, contact us using the information below. We will respond within a reasonable time and may need to verify your identity first.

Children and Student Information

NSIP services are intended for adult school and district staff. We do not knowingly collect personal information from children under 13. If you believe a child's information has been submitted, please contact us and we will delete it.

Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will post the updated version and change the effective date below. If we make significant changes, we will notify you by email or through TimeTrack.

This Privacy Policy was originally effective 10/29/19 and was last updated 11/2/26.
